Accounts Payable Specialist

Job Description

The accounts payable specialist I/II will work closely with AP Manager on improvements, bring new ideas on how to better the department, take over complex processes, clean open AP balances, outstanding checks and received not vouchered reports.  Increase operational efficiency and company profitability by timely and accurately processing and making payments of the vendor invoices, consistent with corporate policy.  In addition to this, maintain vendor accounts to ensure accuracy and resolve any invoice discrepancies as needed.

Job Requirements

Job Duties:


  • Print high volume of invoices daily
  • Reply to high volume vendor inquiries
  • Respond to vendor related voicemails in a timely manner
  • Process and Prepare payment of vendor invoices
  • Weekly check runs, ACH payments, P Cards and/or Wires
  • Process 2-Way and 3-Way match via JDE for inventory related invoices.  This includes complex multiple PO matching, verifying vendor information, quantities, costs and terms
  • Route invoices that do not have PO’s to various divisions for review and approvals adhering to delegations of authority; follow up when required
  • High volume coding & Standard voucher entries for approved invoices
  • Maintain vendor accounts; vendor master for new suppliers, update billing addresses and/or obtain vendor W-9’s
  • Resolve invoice discrepancies in a timely manner/respond to vendor inquiries for payment.  Review discrepancies with purchasing Dept.
  • Balance vendor statements to accounts payable
  • Review and Reconcile Received Not Vouchered Reports on monthly basis
  • Open mail daily and file payments weekly
  • Assist with audit requests
  • Follow company policies and procedures
  • Duties outlined are not limited, possibility of working on new projects as needed

  • Must have good communication skills and work well with others
  • P Card or CC knowledge is a plus



  • JD Edwards (preferred)
  • Knowledge in working with various Opco’s is preferred
  • Ability to work with an extensa chart of accounts
  • Bank of America Cash Pro Online (preferred but not required)
  • Knowledge of Microsoft Office Suite, particularly Excel
  • Minimum 3 years in similar position (Manufacturing Industry Preferred)



  • High school diploma/GED required
  • Associate's degree preferred
